TITLE: Assistant Admissions

REPORTING RELATIONSHIP: This position is accountable to the Director of Admissions

CLASSIFICATION: NESPA, (union) full-time, full-year).

Note: Typical schedule will be Monday through Friday 8:30 a.m. - 4:45 p.m. While these hours are typical, they may be subject to change as workload and needs of our customers and work areas change.

SALARY: Level VI

RESPONSIBILITIES:

I.Essential Functions
A.Facilitate the admissions process for students to NTC's Associate Degree, Technical Diploma, and Certificate courses.
B.Coordinate admission primarily for assigned program areas that are effective, efficient, and student focused.
C.Coordinate communication and correspondence to ensure admissions policies and procedures are followed.
D.Monitor program wait lists, wait list numbers, acceptances and acceptance numbers for each program to ensure full capacity start.
E.Work as a member of the Admissions team to determine program readiness and acceptance into programs by the examination and processing of applications, using high school records, college records, and test/assessment scores. Monitor and improve documents.
F.Ensure all program admission information is accurate, current, and reflects constant changes by working with faculty, Deans, and Director of Admissions.
G.Responsible for accepting students into programs and outlining curriculum to students as indicated by the current admission standards, maintaining files according to semester of entry.
H.Responsible for maintaining tracking system for waitlist and program students.
I.Responsible for processing health portfolio applications and health program petitions.
J.Develop and assist in maintaining student records/files in electronic and paper format.
K.Assist in the development and implementation of admission processes that are effective and customer oriented.
L.Work as a team member with admissions staff, counseling staff, and other Student Services staff.

Other Functions
M.Develop and sign applicant letters, generate and coordinate correspondence to applicants.
N.Work with ImageNow implementation and processing of student records.
O.Work with staff to implement electronic changes to streamline processes.
P.Assist records and registration in assuring information for transfer credit is evaluated at time of entry for new, reentry, and transfer students.
Q.Prepare reports as requested.
R.Work with regional campus staff regarding admission procedures and training. Keep regional staff updated on changing procedures.
S.Provide assistance in Student Services Welcome/Call Centers as needed
T.Greet and provide Spanish speaking customers with information about the college and Student Services

QUALIFICATIONS: Two years of post-secondary education appropriate to the position responsibilities, or equivalent knowledge and skills gained through occupational experience or an equivalent combination of post-secondary education and occupational experience. Demonstrated track record of outstanding customer service skills. Bilingual in Spanish required. If an internal NESPA Member does not have the language skills a professional development plan will be developed and supported by the College. Requires excellent organizational skills, understanding of computer systems, accuracy in work and ability to use independent judgment and initiative. Must maintain confidentiality per Student Services practices and FERPA regulations.

Demonstrated proficiency in the use of Lotus Notes, Microsoft Office Suite, and database systems. Demonstrated ability to learn other software, experience with PeopleSoft preferred. Must be able to use PC networks (software), copy machine, fax machine, telephone and other related technical tools. Must be able to quickly learn new skills to become proficient in job and keep up to date.

Minimum typing proficiency of 45 wpm. Testing for the above-mentioned proficiencies will be administered during the interview process.
